BOOKING POLICY

1. SECURING YOUR PLACE
~ A deposit of $750AUD is required to secure your place at the retreat. Your booking is not confirmed until the deposit has been received.
~ Unpaid deposits after 48 hours will release your spot to the next guest.

2. DEPOSITS
~ All deposits are strictly non-refundable under any circumstances, regardless of how much notice is given or the reason for cancellation.

~ By paying your deposit, you acknowledge and accept this condition.

3. PAYMENT OF THE BALANCE
~ The remaining balance must be paid in full by 16 September 2026.
~ Payment plans are available and can be customised to suit you — provided the full amount is received by 16 September 2026. Please get in touch to arrange a plan that works for you.
~ If the balance has not been paid in full by the due date and no alternative arrangement has been agreed in writing, your place may be forfeited and your deposit retained.

4. RESCHEDULING GUIDELINES
~ Clients may reschedule a maximum of 2 times within a 3-month period from the original booking date.
~ After this, the booking will be forfeited.
~ Online changes are available up to 72 hours (3 days) prior to your appointment.
~ Within 48 hours, all changes must be made via email and will incur full charges.
~ We will always do our best to accommodate rescheduling requests based on availability.

5. BOOKING INCLUSIONS

  • 4 nights at Yama Balian, in a shared twin or private room

  • Exclusive use of the entire sanctuary - shala, gardens, river and grounds are ours alone

  • ​​All meals: breakfast with barista coffee, make-your-own-bowl lunches, and Chef's Table dinners each evening. Vegan menu available.

  • Afternoon tea, fruits and snacks, and filtered infused water always flowing

  • 2x daily embodied movement practices and forme's signature SELF SCULPT massage rituals

  • Daily use of the sauna and ice bath

  • River paddle boards, yoga props, and every facility on the land

  • Gorgeous gift bags included 

  • ​​Wi-Fi throughout

~ Anything not listed above is not included. Optional extras — such as spa treatments, additional activities, personal purchases, and alcoholic beverages — are available at an additional cost and payable separately.

~ Where information on our website or social media differs from this policy, this policy applies.

6. TRAVEL & FLIGHTS
~ Guests are responsible for arranging and paying for their own travel to and from the retreat, including flights, unless a transfer is expressly listed above as included. We are not liable for any travel costs, delays, cancellations, or disruptions, and our refund schedule applies even where travel issues prevent you from attending. We recommend booking flexible or refundable travel where possible.

7. PASSPORTS, VISAS & ENTRY REQUIREMENTS
~ It is your sole responsibility to ensure you meet all entry requirements for Indonesia, including holding a passport valid for at least 6 months beyond your date of entry, having any required blank passport pages, and obtaining any visa applicable to your nationality. We accept no responsibility if you are denied boarding or entry due to passport validity, visa issues, or any other immigration requirement, and our refund schedule applies in full in these circumstances. Please check your passport now, renewals can take several weeks.

8. TRAVEL INSURANCE (REQUIRED)
~ All guests must hold travel insurance that covers cancellation, medical expenses, and personal belongings for the duration of the retreat. A copy of your policy (or certificate of insurance) must be provided to us by 16 September 2026. Our refund schedule applies regardless of your reason for cancelling — insurance exists to protect you where we cannot offer a refund.

9. CANCELLATIONS & REFUNDS
~ If you need to cancel your booking, the following refund schedule applies. Refund percentages apply to the balance paid (i.e. all payments excluding the deposit, which is never refunded). The cancellation date is the date we receive your written notice.

~Refunds will be processed to your original payment method within 7–14 days of your cancellation notice.

FILLING YOUR OWN SPOT

~ As an alternative to cancelling, you are welcome to find someone to take your place at any time, including within the final 2 weeks. If you fill your spot:

  • The replacement guest takes over your booking, including any remaining balance owed, and must accept this policy and meet the insurance requirement.

  • Any amounts already paid can be settled privately between you and your replacement.

  • Please notify us of your replacement's name and contact details as soon as possible so we can update our records and send them all relevant retreat information.

~ We are unable to find a replacement on your behalf.

CANCELLATION BY US

~ In the unlikely event that we need to cancel the retreat, you will receive a full refund of all monies paid, including your deposit. We are not responsible for any other costs you may have incurred (such as flights, travel, or accommodation booked separately) — another reason travel insurance is required.

HEALTH, PARTICIPATION & ASSUMPTION OF RISK

~ Please advise us at the time of booking of any medical conditions, injuries, allergies, or dietary requirements we should be aware of. It is your responsibility to ensure you are physically and medically fit to participate.

~ Participation in all retreat activities is entirely voluntary. You are free to opt out of any activity at any time, and you agree to participate within your own limits and to follow all safety instructions given by facilitators.

~ You acknowledge that some activities carry an inherent risk of injury. To the extent permitted by law, we are not liable for personal injury, illness, or loss or damage to personal property arising from your participation in the retreat, except where caused by our negligence. Nothing in this policy excludes rights that cannot be excluded under the Australian Consumer Law.

CHANGES TO THE PROGRAM

~ We reserve the right to make minor changes to the retreat schedule, facilitators, or activities where necessary (for example, due to weather or facilitator availability). Any significant changes will be communicated to you as soon as possible. No refunds are payable for minor changes to the program.

AGREEMENT

~ By paying your deposit, you confirm that you have read, understood, and agree to this booking and refund policy.
